Business process automation

One place for the work your business runs on

We build a workspace around the way you already work. Enquiries from every channel, replies, proposals, reminders and confirmations live in one place and move on their own, instead of being retyped by hand.

We start with a 30 minute call. Nothing to install and nothing to change up front.

How a single enquiry travels

At your company today

Facebook message Website form Email to the inbox Phone call Typed into a spreadsheet Typed into a quote Typed into a second sheet

With the workspace

Every channel into one place The sheet fills itself in A standard reply is ready A quote from the same data A reminder after three days Confirmation into the calendar The decisions stay yours

Problem

The same data gets retyped three times

This is not about working slowly. It is about the part of the work that needs no thinking at all, yet still takes time and occasionally costs you a client.

Enquiries arrive from four different places Facebook, Instagram, the website form, email, marketplaces. Each one has to be noticed separately.
You retype it into a spreadsheet Name, phone, where it came from, rough value. A few minutes for every enquiry.
You put the proposal together by hand The same data a second time, now into a quote or a template.
Someone has to remember to follow up After three days, then again after a week. The reminder depends on somebody remembering.
Once the client confirms, everything is retyped again Into a second sheet, into the calendar, into an invoice. A third pass over the same data.

Not one of those steps needs judgement. They only need someone to remember and retype. Those are exactly the places we connect.

What it is

A workspace, not another piece of software

The workspace is built from parts. You do not need all of them at once: we start with whatever annoys you most and add the rest once the first part is working.

Enquiry collection

Messages from social channels, the website form, email and marketplaces land in one place. Client name, contacts, channel and date fill themselves in.

This is usually where we start

Replies to standard questions

Availability, prices, what is included, lead times. The reply is drafted from your own price list, in your tone. You review and send, or let it send on its own.

We used to call this the Gmail agent

Proposals and quotes

A draft proposal is built from the same enquiry data using your own pricing. The calculation rules are yours, not ours.

Reminders and follow-up

After three days, after a week, before the event. Every enquiry has a status, so you can see where it stalled and nothing disappears quietly.

Confirmations and calendar

Once a deposit is paid, the booking appears in the calendar and in the confirmed list on its own. No more filling in a second sheet by hand.

The week at a glance

How many enquiries came in, from where, how many are still unanswered and how many turned into orders. One email at the weekend, with no dashboard to log into.

Where money leaks

The things that cost you quietly

Nobody mentions these until they happen. They do not cost time, they cost an order, which is why they never show up in any spreadsheet.

The call nobody wrote down

A client rang, you agreed on a date and a rough price, and it stayed in someone's head. A week later neither of you remembers.

Within seconds of the call, the same kind of record appears as for an email: who called, what they wanted, what was promised.

The same date booked twice

One booking came by phone, the other through a marketplace. Neither knows about the other, and you find out when you already have to call someone and apologise.

The workspace sees both and warns you before you confirm, not after.

Unanswered for fourteen hours

The enquiry arrived at eleven at night in peak season. Before anyone saw it, the person wrote to three more companies and booked with whoever replied first.

You can see which enquiry has been sitting too long and which should have gone out already.

The email you cannot even tell is worth opening

A buyer, a supplier and someone with an offer all write to the same inbox. Until you know which is which, you cannot even decide whether to deal with it today.

Enquiries are sorted before you open them.

Where did this client come from

Facebook, Google, a referral or a marketplace. Without that, you do not know which channel brings paying clients and which brings only questions.

The channel is recorded automatically against every enquiry.

This person was here last year

In a seasonal business the same client comes back a year later, and nobody remembers what they ordered or what price was agreed.

Previous visits are shown the moment a new enquiry arrives.

How we build

Around your process, not around a template

You do not need to change the way you work. First we look at how one real enquiry travels through your company, and connect exactly the places where it gets retyped by hand.

First step

Thirty minutes

You share your screen and we walk through one old enquiry from start to finish. Where it arrived, where you write it down, how you prepare the proposal, where it ends up once confirmed.

Second

The map

You get a list of the places where data moves from one box to another by hand, and how much time each one takes. That shows what is worth connecting first, and what is not worth connecting at all.

Third

We build it

We connect to what you already use: email, spreadsheets, calendar, website. There is no new piece of software to learn, and your tools stay yours.

After that

We maintain it

The business changes, so the workspace changes. A new channel, a new service, new pricing. That is included in the monthly fee rather than billed separately.

Pricing

Setup from 499 EUR, one off

The workspace is built around your process, so the price is calculated the same way. I give the exact figure after the call, once I can see how many channels and how many steps need connecting. I will not quote a number before I have seen it.

Setup
from 499 € one off

The price covers the call, a map of your workflow, building the workspace, connecting it to what you already use, and going live together with you.

Maintenance
from 49 € /month

Changes as the business changes: a new channel, a new service, new pricing. There is no contract, you can stop at any time.

What drives the price

Channels

One inbox and one form is one price. Facebook, Instagram, two marketplaces and the phone is another, because every channel is connected separately.

Steps

Collecting enquiries alone costs less than the full workflow from enquiry to confirmation with quotes, reminders and the calendar.

Your systems

If you already run a CRM, a booking system or accounting software that needs connecting, that is separate work and is priced separately.

The call and the workflow map cost nothing. If it turns out there is nothing worth automating at your company, I will tell you so.

FAQ

The questions that come up first

Will we have to replace the tools we already use?

No. The workspace connects to what is already there: your email, your spreadsheets, your calendar, your website form. If something already works for you, we do not break it.

How long does setup take?

One part usually takes a few days, the full workflow around two weeks. I give an exact date after the first call, once I can see where your enquiries come from.

What happens if the system gets something wrong?

We start in a mode where nothing goes out without you. The workspace prepares, you review and approve. Automatic sending is switched on only for the topics you trust, and only when you want it.

Will my clients be able to tell a machine wrote it?

Replies are written in your tone and from your own price list, not in generic phrases. Where a reply is automatic, that is stated openly: EU rules require it and it is simply the honest thing to do.

At what volume does this pay off?

It depends on flow, not company size. If a handful of enquiries arrive each week and you handle them all, the gain is small. It starts paying off when there are enough enquiries that some go unanswered or get a reply the next day, and the same work repeats every week.

Where does my data live?

Your email and your spreadsheets stay yours. The workspace connects to them rather than moving them somewhere else. If we stop working together, everything stays where it was.

Get started

Show me one real enquiry

Give it thirty minutes and we will walk through one old enquiry from start to finish. After the call you get a map of where data is retyped by hand at your company, and I will tell you how much of it can realistically be taken off your hands. If it is not much, I will say so.
